Part-Time Event Planner/Marketing Coordinator

Drew University is seeking applicants for a Part-Time Event Planner/Marketing Coordinator in the University’s Launch Center for Immersive Learning & Career Design. This position is responsible for all events related to Launch, including planning and executing large and small events, workshops, programs, and meetings for Launch Center and it’s Departments: the Career Center, the Center for Civic Engagement, and the Center for Global Education. This position will work 20 hours per week.

Job Duties and Responsibilities:

Event Coordination and Management:

  • Collaborates with the Associate Provost for Experiential Education & Career Development, Launch Center staff, the Directors of the Center for Civic Engagement, the Center for Global Education, and the Career Center to establish annual event goals and objectives. Co-manage Launchpad annual event calendar. Collaborate with staff, student groups, faculty and University offices to develop events, in particular CLSA, Communications & Marketing, and Conferences & Events. Provide informational resources to planning partners, as needed.
  • Establishes and manages event planning timelines; creates task assignments; and proposes resources needed to execute event. Researches date and location availability, booking on/off campus space as needed. Requests and oversees media and technical support needs. Works with catering and other vendors. 
  • Provides on-site support and troubleshooting during events.
  • Provides coordination among speakers, staff, and volunteers during event program/production. 

Event Promotion and Marketing:

  • Creates flyers and social media graphics to promote on campus events, primarily to students. 
  • Develops registration pages, creates and manages RSVP lists, and communicates with collaborating staff and offices providing periodic progress reports.
  • For larger events, collaborates with Drew’s Communications & Marketing designers to create invitations, promotional and other printed materials. 
  • Collaborates with Drew’s Communications & Marketing to create and maintain the overall and day-to-day social media presence, including page design, photos, and graphical elements. Use videos, photography, tweets, text, and blogs to advance marketing goals.

Supervisory and Training:

  • Provides training, instruction, and the coordination of work assignments for student event interns. Supervises student staff during events.

Administrative Duties:

  • Determines fiscal requirements for events, prepares event budgets, tracks annual event budgets. Makes recommendations for vendors for events. Collaborate with Logistics Manager to negotiate contracts and procure purchase orders for services.
  • Adheres to all safety and housekeeping policies and procedures.
  • Performs other duties and special projects as assigned or directed.


Required Qualifications:

  • Excellent interpersonal, oral and written communication.
  • Demonstrated planning, organizational, and coordination skills.
  • Ability to lead or coordinate event/program messaging and promotion. 
  • Demonstrated ability to work with students and stakeholders from different backgrounds, and to promote diversity, equity and inclusion in the design, development, implementation, and evaluation of events.
  • Ability to collect data on and evaluate implemented events for their assessment and improvement for new iterations. 
  • Exceptional attention to detail and the ability to perform non-routine work with changing priorities and collaborating parties, while maintaining a high level of customer service and professionalism in a fast-paced environment.
  • Ability to develop strong relationships with both internal and external partners, and interact with high-profile event stakeholders on occasion.
  • Computer literacy including proficiency in word processing, spreadsheets, Google Suite, and email required.
  • Some occasional night and weekend work is required.

  • Ability to anticipate event needs and respond accordingly.
  • Ability to effectively communicate (both verbally and in writing) and collaborate with a diverse group of people serving in a variety of job functions.
