Departmental Financial and Administrative Assistant

Drew University is seeking an Administrative Assistant to provide support jointly in the University Technology Department and Library. The position is full-time, non-exempt, and reports to both the Chief Information Officer and University Librarian.

Key Responsibilities:

  • Financial administration for UT and Library, including tracking and processing all vendor invoices and payments in conformity with the University’s procurement policies and practices
  • Budget oversight, tracking expenditures against established budget, ensuring accurate account assignments in the University finance system
  • Maintain a calendar of all scheduled and recurring expenses to ensure that contract renewals are addressed in a timely manner
  • Maintain records of all contracts, agreements, and major expenditures
  • Vendor liaison, ensuring that questions concerning payments, outstanding invoices, billing details, etc are properly addressed and communicated
  • Purchaser for ad hoc requests from UT and Library staff
  • General administrative and executive support for CIO and University Librarian, including calendaring, organizing meetings and events, preparing agendas and records of meetings, and coordinating travel
  • Assist with maintenance of content on library and instructional technology intranet and public websites
  • Coordinate student employee recruiting, screening, work study documentation, etc

Minimum Education and Experience

  • Bachelor’s degree or 2 or more years of relevant experience

Ideal Education and Experience:

Degree in business, finance, public administration a plus. Experience in a role involving several of the key responsibilities highly desirable.
