Drew University seeks an experienced Administrative Assistant, responsible for providing program and administrative support services to the Associate Dean of Student Engagement and the Director of Residence Life and Community Standards.

The administrative assistant’s primary responsibilities include creating and revising office procedures and operating systems, record-keeping systems, and providing logistical support for departmental events and programs. Ideal candidates will contribute to a supportive, welcoming, and developmental, student-first environment.

Key Duties:

Shared departmental tasks: Ensure timely and accurate budget, credit card, and record keeping for both offices; manage department websites’ content for accuracy and up to date information for students and parents (developing and maintaining new parent web site); Schedule appointments and meetings for associate dean/director and department staff. Train and manage student employees for programs, events, and other initiatives.

Student Engagement Specific: Manage vendor contracts from start to finish. Coordinate travel arrangements, manage conference space/scheduling

Housing, Residence Life, and Community Standards Specific: Redacting and filing highly confidential reports. Editing and proofing of communications to various student groups. Filing and tracking room condition reports, (including billing and damages) and responding to billing inquiries from students and parents.

Other duties as assigned.

Minimum Qualifications: Three years of general administrative experience preferably in a higher education setting.

Required Knowledge, Skills and Abilities, including but not limited to:

  • Strong interpersonal/customer service skills
  • Excellent attention to detail, problem solving and multi-tasking skills
  • Excellent written, oral, and editing communication skills
  • Ability to take direction and to use independent judgment to develop and coordinate various projects and meet multiple deadlines

Preferred Qualifications:

  • Experience with Microsoft PowerPoint, Excel, and Word
  • Experience in maintaining both electronic and manual filing systems
  • Banner software experience
