Please make an appointment with your Resident Assistant (RA) at least 48 hours before move out. You must do some form of an official checkout. All belongings must be moved out of your room and/or suite prior to your check-out appointment as you must return your room key at that time.
If you do not make an appointment, you may use the Express Check-out Forms. Residents may print them out online on the express checkout link above. Then bring the completed form to the Coordinator of Residential Engagement (CRE) of your respective area, or to the Housing Coordinator, Bob Meade, in the Ehinger Center (EC), room 140 in the Student Engagement Suite. If you are moving out over the weekend or after 5PM, please drop the forms with your keys to the Public Safety Office.
Preparing Yourself for Checkout:
- Clear out all personal belongings from your side/portion of the room, bathroom and/or living area. Check all your drawers, closets, and under the bed to make sure you didn’t forget anything. Any items left will be discarded and residents may be charged the cost of removing items.
- Please be sure to completely clean your room. Leaving your room in excellent condition will keep you from incurring cleaning fees/fines.
- Vacuum, dust, and/or wipe down all surfaces.
- Remove ALL tape, sticky stuff, & adhesives from walls, shelves, doors, windows, etc.
- Be sure that your room, common area and/or bathroom has all the furniture provided by Drew University.
- Take all trash to the dumpsters. Furniture or trash left behind will result in personal or common area fines.
Prior to Checkout:
- Inspect the room/bathroom/ common area to see if that is the condition you want the CRE & Facilities to assess it in.
- Remove your room key from any rings you may have.
- Close & Lock all windows. If you live on the first floor, please make sure window blinds are down and closed. If you live above the first floor, please leave the window blinds up and open.
- Turn off all the lights & lock the door.
- If you are the last roommate to leave, please make sure all common areas and bathrooms are in their proper condition.
- Find the RA/HA and complete the Room Condition Report (RCR) or Express Check-Out Form.
- Turn in your room key and acknowledge the Key Code as written on your Room Condition Report.
- Confirm the RA/HA locks up your entire area.
Move Out Check List
- Completely Clear Off:
- Both sides of your bedroom door, common area door, and bathroom door
- Bedroom walls
- Common room walls
- Ceilings
- Discuss with your roommate(s) who is responsible for damage(s) in your room/common area/bathroom. Please let your RA/HA or CRE know which person is claiming responsibility in writing with everyone’s signature. (Please submit this information before any member checks out of the area).
- MicroFridge refrigerators will be picked-up after the residence Halls have closed. Please make sure you unplug, clean, and defrost your rented or personal refrigerator prior to checking out.
- Please check your Drew email for any updates or procedural changes.
Two ways to check out of the Residence Hall:
- Schedule a check-out appointment with an RA/HA from your complex 24 hours in advance of your move-out. Choose a realistic time that works with your exam schedule and the move out schedule. Residents must move out 24 hours after their last exam. (Please note: missing your appointment time may result in an improper check-out.
The RA/HAs will be collecting the move-out sheets the night before (11:00PM) so they know their appointments for the next day. If you do not sign up, they may not be available to check you out of your room. (Please be mindful that RA/HAs are students who also have finals and papers to complete).
- Use the Express Check-Out Option. If you do not know what time you are moving out, you may go with the Express Check-Out Option. Please note: if you use the Express Check-Out option, you will not be able to appeal any damages and fines assessed to your room, bathroom and /or common area.
Please pick up an Express Check-Out form from the Office of Residence Life and Housing (EC 138) or from your RA/HA the day before you check out (You may also print from the link at the top of the page). Fill out the form legibly and completely. Place your key in the attached envelope.
Ask your RA/HA or CRE where to leave the Express Check-Out form. You can also drop off the form at the Office of Residence Life and Housing (EC 138). Once you have turned in your Express Check-Out form, you are ready to leave for your summer break. (Remember: When you elect to Express Check-Out, you sign a contract saying you understand you relinquish your rights to appeal any damages and fines assessed to your room, bathroom and/or common area).
Important Note: Public area fines may not be reversed or appealed.
Reminder: All residents will be held accountable for the destruction of any University property/furniture through inappropriate means (i.e. tossing out the window).
Please make an appointment with the Grad/Theo Coordinator of Residential Engagement (CRE) 48 hours before you plan to check-out. All belongings must be moved out of your apartment prior to the check-out appointment as you must be ready to turn in your key(s) to your CRE at that time.
If you do not make an appointment, please email the Grad/Theo CRE. Furthermore, you may use the Express Check-out Forms. Residents may pick up the Express Check-Out form from their CRE and/or print it from the Express Move Out Form tab below. Please fill out the form and then leave your key on your kitchen counter to be picked up at a later time by a Residence Life Official. If you cannot attend the walkthrough with the CRE, you will be responsible for any charges due to damages in the room.
10 Steps to A Successful Check-out:
- Clear everything out of your room, bathroom, and kitchen. Shared spaces need to be cleared and cleaned.
- Clean the refrigerator, kitchen sink, stove, and oven.
- Please wipe out kitchen cabinet drawers.
- Please make sure the windows and blinds work or put in a work-order.
- Clean the bathroom, toilet, sink, and shower/tub.
- Sweep the floors.
- Dust the window sills.
- Remove any crayon drawings on the walls or floors.
- If you have a storage unit, you must empty, and sweep it.
- Close all windows and lock the door behind you.
These 10 steps must all be done prior to the check-out appointment. The check out process is ten minutes or less to make sure all of the items listed above are taken care of. Once the check–out process is completed, and you have turned in the keys, the door will be locked.
If you do not clean kitchen the bathroom, bedroom, and kitchen appliances you may incur a charge from Facilities. If there are any damages to the room that was not there when you moved in, e.g., room needs to be repainted because of holes made or tape tearing off the paint, then Facilities may charge you.
Charges are accessed by Facilities based on a walk-through of the apartment after the lease has expired.
After evaluating our Summer Storage practices throughout the years and after hearing student feedback, the Office of Student Engagement is now collaborating with Dorm Room Movers, an off-site storage company which will now serve as our official storage provider.
Instead of students having to physically move their belongings across campus, once registered, Dorm Room Movers will send boxes directly to students’ campus mailboxes and then Dorm Room Movers will pick up all items directly at your student’s room. All your student has to do is register with Dorm Room Movers, and then pack their belongings. All the heavy lifting and storage will be handled by Dorm Room Movers.
This is how easy it is: Dorm Room Movers sends students boxes and tape. Students pack, and schedule their pick-up date, and that’s it. The movers will pick up items, store them while the students are away, and deliver everything back to your students new room assignment when they return. Dorm Room Movers can also ship boxes home or wherever a student needs them to go.

Mid-Year and Intra- Semester Move Out

If you are interested in doing a room change during the academic year, please visit us for the room change procedures or fill out the online form to begin the process. If you have any questions, please contact the Housing Coordinator at rmeade@drew.edu or call 973-408-3681.
If You’re Going Abroad or Graduating and Not Returning Spring Semester:
1) Contact your RA or CRE to schedule an appointment to check-out. Check-out should only be completed when you are completely moved out of your room and you are ready to hand in your key. Take your final exam schedule into consideration. During check-out, your Room Condition Report will be completed, you will sign off on it, and hand in your key. At this point, you are not allowed back into this room (even if your roommate is still there).
2) Inform the Housing Coordinator, rmeade@drew.edu or 973-408-3681 of your situation and follow all Housing procedures so you are not billed for living on campus for the Spring semester or incur any other charges.
3) If you have rented a refrigerator or a loft, please contact the point person (who you contacted to receive it) and let them know you are leaving. They will inform you how to go about returning the rented item.
4) If you are Studying Abroad, make sure to check with the Center for Global Education to make sure affairs are in order. If you are graduating – contact the Registrar’s Office.
If You Are Changing to Commuter Status:
All full time, enrolled, undergraduate students are required to live on campus during their years of study at Drew. Students may apply for commuter status if they will be residing with a parent or with a family member designated by a parent, and live within a fifty-mile radius of the campus. For more information and steps for this process, please fill out the change of housing form.
If You’ll No Longer be a Residential Student After Fall Semester:
1) Contact your RA or CRE to schedule an appointment to check-out. Check-out should only be completed when you are completely moved out of your room and you are ready to hand in your key. Take your final exam schedule into consideration before scheduling an appointment. During check-out, your Room Condition Report will be completed, you will sign off on it, and hand in your key.

When does my meal plan end?
For those residents staying until May 9th, you may utilize your meal plan until that date. For those staying through graduation, your meal plan will end after dinner on May 10th, 2019.
What if I have trouble leaving campus on time?
You must request additional time on campus through the Housing Coordinator in advance and a fee will be assessed. If there is a challenge last minute before departure, please contact your CRE immediately.
When do I move for Summer Housing? (Summer Crossover)
The process is referred to as Summer Crossover. The process is for students who are staying in housing for the summer. This will happen on May 14th, 15th and 16th, 2019. Dependent on your current Residence Hall, students will move over to Riker and Welch Hall on one of the dates above, which will be sent to you via email by the Housing Coordinator (Students already in Riker and Welch will remain there). Students are permitted to stay in their current housing assignment until the official move out date is given by the Housing Coordinator. When Does My MicroFridge Get Picked Up?
If you rented a MicroFridge, it will get picked up after your departure and Halls have closed. In preparation for the move-out, please make sure to take all food and any other items in your MicroFridge and take them with you, or personally donate them. Please make sure you unplug, clean and defrost your MicroFridge prior to checking out.

What’s the process for on and off campus guests?
If you have a guest on campus and they are an on-campus resident from another room (not within the suite) or suite, then they must move all their items into the host’s room. All seniors may have only 1 guest. There will be a wristband provided to your guest which will get them into the Commons and able to receive food at Senior Week events. There will be a Student Activities charge for your on/off campus guest to cover Senior Week Events.

What if I am assisting or working graduation?
For anyone who is assisting/working graduation, the buildings officially close at 7PM on Saturday, May 11th, 2019. Anyone staying after this point must be signed up for Summer Housing through the Housing Coordinator.
Where can I park my car while packing?
Once your car is packed, please immediately move it away from the building, so others may use the spaces to load up. Please don’t block the dumpsters. Your car may be towed from the dumpster area if left there. Cars parked close to stairs and main entryways will be fined by Public Safety due to it being a fire hazard in the event of an emergency.
